The Opportunity

Reporting to the Director of Advancement, the Advancement Coordinator provides administrative, organizational, fundraising and communications support in the Advancement Office operation. Essential elements of this position include participating in the planning and execution of events, alumni/annual fund, social media, fund-raising relationships, donor stewardship and gift recognition, alumni communications, and administration of alumni benefits programs.

Donor Relations responsibilities include tasks pertaining to event organization, donor file management, and assistance with the development and maintenance of stewardship programs. The Coordinator works with the Director of Advancement to plan and execute annual and special appeals and is part of a departmental working group to develop and coordinate new and emerging strategies for reaching alumni, such as the use of social media for fund-development purposes. They additionally work with the Alumni Affairs Officer to support the administration of the benefits program as well as the alumni database. This role assists with evaluating content needs and determining updates for donor and alumni website content

The Coordinator's position will normally, and on a day-to-day basis, be privy to confidential material and information, and must be well-versed in privacy regulations as related to donors, fundraising, and financial accounts of the University.

What you'll do

Responsibilities

Donor and Alumni Relations

  • Working with the Director of Advancement, assists with the planning and execution of fundraising outreach such as direct and electronic mail, donor reports, stewardship pieces, and other related correspondence.
  • Drafts, edits, and prepares donor correspondence. Composes and prepares routine letters and memorandums, supports the distribution of correspondence on behalf of the department.
  • Leads execution of the gift recognition and donor stewardship activities based on defined schedules.
  • Assists with organization and execution of advancement events.
  • Assists with coordination of planning for meetings, event venues, programs, and logistics, (i.e. catering, space bookings, entertainment); oversees mail, digital, and phone invitation/reply processes.
  • Assists with the assembly and sourcing of mailing lists and other required information from various database systems.
  • Assists with alumni updates, including regular monitoring of media sites.

Communications

  • Assists with the development and distribution of donor and other reports as required, such as Endowment Reports, the Community Report, Informer reports, Board of Governors reports, and Campaign materials.
  • Assists with the development and distribution of newsletters, holiday cards, impact reports, and solicitation emails using mail software, for Advancement and Alumni activities.
  • Operates the online giving software to create giving pages for a variety of fundraisers and events that occur through multiple different departments on campus.
  • Posts content and shares relevant posts on social media, as instructed by the Director.
  • Requests gift recognition and various donor related posts through communications as required, based on prescribed templates.
  • Assists with creating and identifying content for the Alumni Relations website.
  • Supports and suggests website and social media content including maintaining of donor recognition pages and other visuals (donor walls)
  • Helps with inbound correspondence from donors, prospective donors and alumni and responds or directs accordingly based on primarily defined processes.
  • Supports Database integrity and database cleansing by receiving reports and failed correspondence (both digital and physical) and processing/reporting per prescribed processes
  • Other Related Duties.

Gift Processing and Reporting

  • Processing received donations through a variety of channels and working within defined parameters to record, report and receipt contributions to St. Thomas.
  • Any contentious matters would be discussed with and referred to the Director for follow-up.
  • Respond to inquiries internally and from external donors/alumni.
  • Responsible for the monitoring of generic email and voicemail messages and handling or dispatching accordingly
  • Prepares reports and data collection for regular department and campaign results based on established KPI's
  • Tracks and helps prepare fundraising and campaign reports
  • Works with advancement systems to manage information retrieval and data collection
  • Reports any identified system problems or issues to the appropriate departments for resolution (IT/Finance).
  • Recommends any identified process improvements to the Director.
  • Maintain the Department's retention guidelines for documentation.
  • Other Related Duties.

What you'll need

Qualifications

  • An undergraduate degree, plus 2-4 years of related experience in project management, communications, data management, or Advancement. An equivalent combination of education and experience may be considered.
  • Strong decision‑making and judgment skills, including the ability to interpret data and supporting documentation accurately.
  • Working proficiency with database procedures, record‑management systems, and data exporting, including experience with multi‑modular database programs and online donor and registration systems (e.g., Artez, Eventbrite); experience with Ellucian/Colleague Advancement is considered an asset.
  • Experience researching constituent biographical information and preferences.
  • An understanding of varying types of gift processes, including reconciliation tasks associated with online gifts and third‑party fundraising.
  • Experience using social media platforms to support friend‑raising and fundraising initiatives.
  • Demonstrated initiative, discretion, and strong attention to detail, with the ability to organize and complete assigned work within established timelines.
  • Ability to work effectively both independently and collaboratively as part of a team.
  • Excellent verbal and written communication and interpersonal skills; a professional telephone and office manner is required.
  • Strong organizational abilities, including the capacity to manage multiple competing priorities in a dynamic and evolving environment, and to support the implementation of new processes.
